A closeout is useful only when a reviewer can tell what was received, what was posted, what remains unresolved and who owns the next action. A clean total can still hide unapplied cash or a missing remittance.
Record the source totals
Start with the receipt or deposit total and the remittance information available for the same batch. Keep the source identifier and date alongside the amounts so a reviewer can retrace the work. Do not assume the bank date and posting date will match.
Reconcile what was posted
Compare the amount recorded as posted with the source totals. Record unapplied amounts and adjustments separately. If there is a difference, describe it in plain language and attach the batch reference or other internal evidence needed to investigate it.
Route exceptions before signoff
Assign each unresolved item an owner, next action and follow-up date. Examples include a remittance that has not arrived, a payer amount that needs research, or an unapplied balance awaiting identification. The reviewer should be able to distinguish a resolved difference from an open one without reading a long email chain.
Close the day with an audit trail
Keep the preparer and reviewer signoff with the final batch totals and exception list. On the next day, bring forward open items rather than creating a second disconnected list. This is an operational review method; adapt it to your organization's accounting controls, payer arrangements and privacy procedures.
