Physical therapy authorization work involves several clocks at once: request status, next payer follow-up, approved visit count and expiration. Put those fields in one work queue so the next action is visible before a deadline becomes urgent.
Capture the request once
Record a non-identifying internal reference, payer, request date, owner, requested service window and current status. Keep the source of the payer information nearby. Store patient information only in systems approved by your organization; a planning spreadsheet can use de-identified references.
Separate status from action
A request marked “pending” tells the team little about what to do today. Add a next-action field and follow-up date. Use consistent statuses so a manager can filter requests awaiting documentation, payer response, peer review or another internal task.
Watch visits and dates together
For approved requests, record authorized visits, completed visits and remaining visits, plus the effective dates. Review approaching expirations and low remaining counts in the same daily queue. Confirm the applicable payer rules and authorization details against current source documents before scheduling or billing decisions.
Use the dashboard as a management view
Summarize aging requests, upcoming follow-ups, potential visit gaps and workload by owner. A trend may point to a handoff problem or a payer-specific bottleneck; use the underlying rows to investigate before changing the process.
